TNSJ: Streamlined Scheduling Across Three Venues

Teatro Nacional Sao Joao

The Teatro Nacional de São João (TNSJ), a leading Portuguese national theater in Porto, implemented #DIESE to centralize scheduling, organize technical teams, and secure operational processes.

A National Theater with Complex Needs

TNSJ operates across three venues:

  • Teatro Nacional São João
  • Teatro Carlos Alberto
  • Mosteiro de São Bento da Vitória

The programming is diverse, mostly contemporary, with a strong focus on creation. Internal operations rely primarily on permanent staff (around 80%), and technical teams are structured by venue with site-specific workflows.

Before 2025, scheduling and coordination depended largely on Excel, limiting:

  • Visibility across the three venues
  • Team coordination
  • Reliable time tracking
  • Medium-term project planning

Moving from Excel to a Consolidated Schedule

In 2025, TNSJ deployed #DIESE to have a single tool for managing scheduling and resources. The project, led by the technical direction, was delivered in a collaborative and timely manner.

Scope: Scheduling and Teams

#DIESE now covers:

  • Programming and Projects
  • General Scheduling
  • Time & Activity Management (technical team planning)
  • Inventory Management

Structured Technical Planning

The Time & Activity Management module is mainly used for technical staff, mostly permanent. TNSJ uses it to:

  • Organize work slots by activity and venue
  • Structure schedules efficiently
  • Produce reliable forecasts and track actuals
  • Export schedules in PDF for internal use

Future plans may extend this module to all staff planning.

SmartTime Integration for Seamless Time Management

The project includes an interface with SmartTime, TNSJ’s badge and payroll system:

  • #DIESE sends scheduled shifts to SmartTime
  • SmartTime returns leave information
  • Payroll remains external

This connection avoids double entry, ensures data consistency, and aligns scheduling with administrative management.

Key Takeaways

With #DIESE, TNSJ has:

  • Replaced fragmented tools with a centralized solution
  • Structured scheduling across three venues
  • Secured technical team tracking
  • Initiated interoperability with its time management system

This project demonstrates #DIESE’s ability to support mid-sized cultural organizations in digital transformation, with a simple and well-managed deployment.
