New York City Center: Centralized Production and Team Management

New York City Center

At the heart of Manhattan, New York City Center (NYCC) manages a demanding season of musical theater and dance. Operating in a hybrid model with internal productions and hosted events, coordination is a strategic priority. Today, #DIESE serves as the central system to streamline planning and optimize workflows.

A complex artistic and hybrid model

NYCC is New York’s largest non-Broadway theater, balancing two pillars: musical theater and dance—from classical ballet to contemporary international companies.

Approximately 50% of performances are external events, and six rehearsal studios are available for rent while prioritizing the Center’s own artistic needs. This dual activity requires constant decision-making between:

  • In-house productions
  • Stage rentals
  • Studio bookings
  • Team scheduling

Efficient coordination is therefore essential.

From fragmented systems to centralized planning

Before #DIESE, NYCC relied on FileMaker and multiple Excel spreadsheets. Data was dispersed, and a comprehensive overview was difficult to achieve.

The main goal was to implement a single, unified schedule accessible to all departments. Historical data imports from FileMaker ensured continuity, and gradually, #DIESE became the backbone of planning.

Today, 30–40 users actively work in the system. Initially limited to production and rentals, usage has expanded to dance, education, and HR departments. High internal adoption is a key success factor.

Extended functional coverage

NYCC is now one of the most comprehensive #DIESE users in the United States. The platform covers:

  • Productions and works
All productions, contacts, casts, programming, and venue management are centralized. Dance productions are extensively managed in the system, with technical details, materials, and marketing information tied to each production.
  • Team planning
Planning covers technical staff and Front of House teams (ushers, security, cleaning). Centralization aligns artistic operations with human resources.
  • Studio rentals and billing
Requests for the six studios are handled directly in #DIESE, balancing internal needs with external bookings. Accepted requests automatically generate quotes and invoices.
  • Stock management
NYCC is among the most advanced users of the Stock module in the U.S., cataloging stage equipment as well as furniture and other assets within the building.

Targeted developments for operational efficiency

Custom adaptations improved day-to-day operations, including:

  • A personalized monthly calendar for visualization
  • Specific reports for program preparation
  • Integration with Tessitura to ensure data consistency across NYCC’s application ecosystem

A sustainable, evolving project

The system is now stabilized, yet #DIESE continues to evolve within NYCC. Expanding use across departments demonstrates maturity: planning is shared rather than siloed.

By centralizing productions, teams, and studios, NYCC has strengthened operational oversight. In a dense, competitive artistic environment, this global visibility is a strategic advantage.

Conclusion

For an institution combining musical theater, dance, productions, and rentals, coordination is a key performance lever. With #DIESE, New York City Center now benefits from centralized management of productions, teams, and studios, providing a robust foundation to support ambitious programming and future growth.
